Job Description

Job Summary:


The Project Administrator will support the financial, contractual, budgetary, and governance procedures related to the Waterway Infrastructure program. This role involves preparing project requests, plans, memos, and other administrative documents, as well as tracking invoices, preparing accruals, and reviewing project activities for accuracy and cost control.

Responsibilities:


- Prepare requests for new projects.
- Prepare project plans, risk registers, project justification memos, contractor award memos, purchase requisition worksheets, scopes of work and other administrative documents.
- Prepare purchase requisition worksheets and collect accounting information for new contracts.
- Attend scheduling meetings, update project costs on Excel, and verify budget consistency.
- Prepare award memos and change orders memos for contract funding.
- Track monthly invoices and prepare accruals.
- Review consultant reports, meeting minutes, and agendas for completeness.
- Review project activities for technical content, accuracy, cost control, and schedule.

Required Skills & Certifications:


- Strong project management skills.
- Excellent interpersonal, written, and verbal communication skills.
- Proficiency with MS Word.
- Proficiency with MS Excel (SUMIFS, COUNTIFS, Pivot Tables, Charts).
- College degree in engineering or related field.

Preferred Skills & Certifications:


- Strong knowledge of water resources engineering or construction experience.
- Working knowledge of SAP, Oracle Primavera, and Microsoft Teams.
- CCM, PE, PMP or other professional certification.

Special Considerations:


- Must be local to the Tri-State area and work in W2 tax status.
- Fully remote positions are prohibited; hybrid schedules require a minimum of 3 days on-site.
- Remote work privileges can be revoked.
- Must use personal equipment to remote into NYPA desktops on virtual days.
- Overtime is not permitted unless authorized in advance.
- Contingent Worker is required to badge in and out of the turnstiles for all daily entrances and exits.

Scheduling:
- Monday through Friday, 7.5-hour work day with a 0.5-hour unpaid lunch.
- Preferred location is WPO, but open to Buffalo.
- Paid for time worked only; there are no paid holidays, vacation, or sick days.
